To be recognized as the eye care center of excellence in the communities we serve SUMMARY The Patient Services Supervisor is responsible for the day-to-day operations of the front office, including patient and telephone service, and office coordinators at satellite locations to ensure quality, effectiveness, efficiency and accuracy of patient scheduling and registration.
This includes communication of appointment reminders, monitoring wait times, recall notifications, and evaluating patient satisfaction.
JOB RESPONSIBILITIES Responsible for coordinating front office functions with clinical, accounting, and billing departments Collaborate closely with the Regional Clinical Administrators to ensure patient wait times are minimal and/or patients are promptly communicated with regarding extended wait times Responsible for scheduling of all assigned staff and ensuring adequate coverage for specified RMEC locations Monitor staff hours worked and processes department time tracking, PTO, and payroll Supervises, interviews, selects, trains, and provides leadership for all assigned staff by making best use of employee's skills Manages the performance of assigned staff, including disciplinary action and conducts annual reviews in coordination with Human Resources Administers established guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary Ensures that patients are treated in a prompt and courteous manner by staff Assists with developing and implementing appropriate procedures and evaluates on a consistent basis Ensures that staff is cross trained in answering phones, registering patients, accurate data entry of vital patient information in electronic medical records, and to ensure phone calls are screened to assist the caller and directed to the appropriate department or person Develops and implements a process for providing patient appointment reminders Develops and implements a process for communicating recall notifications Develops and implements a process for regularly gathering patient satisfaction feedback, and reports results to the Manager of Operations Works to de-escalate patient discontent Provides continuous training to Patient Services staff through regular staff meetings and assists staff in seeking out training opportunities Responsible for meeting with office coordinators in satellite offices monthly Attend required meetings and participate in professional development efforts to keep current on changes in management techniques and insurance matters Leads by example and is the standard of leadership for the team Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
PERFORMANCE STANDARDS Contributes to the effective and efficient performance of the department for the practice Functions as a productive and positive member of the practice Conforms to all RMEC policies and procedures outlined in the Employee Handbook including punctuality, attendance, and dress codes Achieves cooperation and teamwork through effective communications and positive relations with staff Adheres to the company code of conduct WORK QUALITIES Position requires excellent communication skills and an understanding of ophthalmic practice and patient care.
Must demonstrate attention to detail and documentation.
Must be even tempered, ethical, and good humored.
Must interface with all RMEC departments, physicians, and personnel.
REQUIRED EDUCATION, LICENSURE, AND EXPERIENCE High School Diploma or GED Five years' medical support services experience in a healthcare setting Prior supervisory experience a plus Understanding of medical office and front desk processes and clinical operations Strong knowledge of coding and insurance billing procedures Word processing and computer experience a must Excellent verbal and written communication skills Highly organized with the ability to work proactively Ability to handle confidential issues with discretion and exhibit tact in stressful and delicate situations Must have a valid driver's license, current auto insurance and a reliable vehicle Must be very detail orientated and self-motivated Must be able to pass a criminal background check, MVR check, drug screen and OIG Must be able to travel to other office locations as needed PHYSICAL/MENTAL JOB REQUIREMENTS Must be able to carry and lift items weighing up to 25 pounds Must be able to speak clearly in small group settings This position will require sitting for long periods of time, walking, standing, bending, and walking, as well as using fine motor skills, such as finger dexterity for typing, and using small hand tools This position could be exposed to loud noises, frequent phone conversations, and requires average to above average visual acuity and hearing Most of this job will be spent indoors in a climate-controlled environment Must be available to travel to other office locations as needed FULL BENEFITS PACKAGE FOR ELIGIBLE STAFF:
